I’m an office administrator for a 70-person industrial controls company. I handle most of the maintenance and measuring-equipment purchasing—roughly $350,000 a year across eight vendors. I report to operations and finance. I am not an engineer or an electrician, and I don’t pretend to be one. What I am is the person who asks the second question before a purchase order goes out.
Here’s my opinion after doing this since 2020: small tool orders are not simpler than big ones. They’re just shorter. A $24,000 capital purchase gets reviewed by several people. A $250 tool request can slip through on one email. Yet that $250 tool often has more impact on the person who uses it every day.
The small-order trap
The phrase “small order” makes people think the risk is small too. It’s true that losing $250 won’t break a budget. But a wrong $250 tool usually doesn’t stop at $250. It costs the maintenance tech’s time, the supervisor’s patience, and the emergency shipping fee to make it right. When I took over purchasing in 2020, I found a shelf full of small-ticket items that were bought without a real specification. Nothing was expensive. Almost nothing was the right version.

A few years ago, a quality person asked me, “Where are Mitutoyo calipers made?” At first, I thought he was testing me. He wasn’t.
